An approval workflow for social posts

Nothing goes out until the right person says yes.

Yes. Turn on Ask a teammate to approve in the composer and the post waits in review instead of being scheduled. An editor or admin approves it (it then goes out at its time or the next free slot) or asks for changes with a note, which sends it back as a draft; the person who sent it is told either way. Contributors can only send posts for approval, never schedule them.

Plans: Plus and Pro. Plus includes 5 team seats and Pro 10. A separate Team plan is not on sale.

When more than one person touches a brand's accounts, someone eventually posts the wrong thing at the wrong time. Approvals put a check in the middle: whoever writes the post sends it for approval, and it only goes out once a person allowed to approve has looked at it.

TallyReel builds this on workspace roles, so it isn't an extra setting to remember. A contributor's posts always go to review, because contributors can't schedule. An editor can turn on Ask a teammate to approve for any post they want a second pair of eyes on. Posts waiting for approval show in butter yellow on the calendar, and the Approval required filter lists every one of them from any week.

How it works

  1. Invite your team with roles. On Pro, invite teammates by email and give each a role; the plan has 3 seats including yours. The invite link works for 7 days, and pending invites count as seats.
  2. Write and send for approval. In the composer, the button reads Send for approval instead of Schedule post. Editors and admins get a notification and an email.
  3. Review. The approver opens the post, reads the text and previews, and can leave comments for the team under it.
  4. Approve or ask for changes. Approve schedules it at its time or the next free slot. Request changes needs a note, sends the post back as a draft and tells the writer.
  5. Approve in bulk. Pick several posts in the calendar week and choose Approve and post now or Approve and use next free slots.

What people use it for

An agency and its clientThe agency writes as contributor; the client, as editor, approves each post before it goes out.
A freelancer writing for a brandDrafts go to the owner's review list, never straight to the account.
Sensitive announcementsAn editor turns on approval for one post so a second person checks the wording.
AI-made videosA video made with Post it for me can wait in review so someone watches it first.
Solo, with a pauseOn Plus, send a post to review to keep it from going out until you've slept on it.

Roles in a workspace

What the trail shows

Every saved post has two tabs at the bottom: Comments, where the team can talk about the post, and Activity, which records who sent it for approval, who approved it and for when, and who sent it back with what note. When someone asks for changes, their note is also added as a comment, so the writer sees it right where they edit.

Approving is tied to scheduling on purpose. Scheduling or posting a post that is in review approves it, so only someone allowed to approve can do it. A contributor who opens a post in review sees it but can't push it out.

Notifications go to the right people without setup: everyone who can approve hears when a post is sent for approval (except the person who sent it), and the writer hears when it is approved or sent back.

Honest limits

Questions

Which plan has the approval workflow?

Plus and Pro. Teammates who approve need seats, and Pro is the plan with 3 seats. On Plus, approval works as a hold for your own posts.

Who can approve posts?

Editors, admins and the owner. Contributors can only send posts for approval, and viewers can only look.

What happens when I request changes?

You write a short note, the post goes back to the writer as a draft, the note is added to its comments, and the writer gets a notification.

Does an approved post go out straight away?

Only if you choose Post now. Otherwise it goes out at the time it was given, or takes the next free slot in your posting times.

Can a client approve without an account?

Not today. Everyone who approves needs a seat in the workspace, invited by email with a role.

Pick one. Make it tonight.
